About the Role
Swift Line Capital is a fast-growing private lending brokerage specializing in fix and flip loans, bridge financing, DSCR rentals, ground-up construction, and business loans. We are looking for a detail-driven Loan Processing Coordinator to own the post-approval phase of every real estate transaction from term sheet acceptance through closing.
This is a critical role. Once a borrower accepts a lender's terms, you become the central hub between the borrower and the lender's underwriting team. You'll be the main point of contact for the client moving forward in order to organize all of their documents to send back and forth to the lender. You'll need an understanding on how real estate loans work, title, insurance, and more to help close more real estate transactions and closings. Nothing gets dropped on your watch. Every outstanding condition is tracked, every document is chased down, and every question from the lender gets a timely, professional response.
You'll be in a small yet efficient and fast paced company with large growth potential. We are looking for a long term fit and somebody who is self sufficient, learns fast, extremely organized and takes initiative to come up with creative solutions to help us grow.
Responsibilities
What You'll Do
- Manage all post-approval communication between borrowers and lenders/underwriting teams
- Build and maintain a detailed checklist of outstanding conditions for every active file
- Reach out to borrowers promptly to collect missing documents, signatures, and information
- Submit Letters of Explanation (LOEs) on behalf of borrowers to address lender questions or credit inquiries
- Organize, label, and upload loan documents to the appropriate systems in a clean, lender-ready format
- Monitor lender portals and email inboxes for underwriting requests and respond or escalate within same business day
- Follow up relentlessly, but professionally, with all parties to keep transactions moving toward closing
- Flag any potential delays immediately and propose solutions
- Coordinate with title companies, attorneys, and appraisers as needed to meet lender requirements
- Maintain accurate notes and status updates in the CRM (GoHighLevel) for every active deal
- Assist the broker (Brett) with scheduling calls, preparing borrower communications, and formatting documents

- Exceptional written and verbal English communication skills
- Obsessive organization — you track every open item and nothing slips through
- Ability to manage multiple files simultaneously without losing accuracy
- Proactive follow-up mindset — you chase; you don't wait to be chased
- High attention to detail in document review and formatting
Preferred Qualifications
- 1–3 years of experience in mortgage processing, real estate transactions, title, or private lending
- Familiarity with real estate loan terminology (LTV, ARV, DSCR, appraisal, title commitment, etc.)
- Experience with GoHighLevel, Google Workspace, or similar CRM/project tools
- Prior experience writing or submitting Letters of Explanation for loan files
- Background in a broker, lender, title company, or real estate attorney office
